Job description

Job Title: - Purchasing Assistant (Contractor, short term 6 Month)

DUTIES & RESPONSIBILITIES:

¿Receive procurement related correspondence and enter into logbook / computer terminal, the reference for such incoming documents.Maintain, update and retrieve data as instructed.

¿Compile and / or distribute to concerned personnel, a variety of documents and standard forms, such as purchase and repair requisitions, orders, reports, contracts, letters, telexes, facsimile messages and other correspondence. Prepare, maintain and update files for such documents

¿Make photocopies of documents and sort as appropriate.Arrange documents for issue to bidders. Prepare documents for bid opening. Assist in bid opening, as required, and distribute the opened bids to appropriate personnel

¿Carry out word-processing, proof reading, correcting and printing of tender documents,Memos and reports

¿Provide data entry, telephone contact and other clerical support services to Division¿s staff to assist in report preparation, follow-up with suppliers / contractors, etc.

¿Assist Supervisor in preparing enquirers, bidder lists, bid evaluation summaries and draft purchase and repair orders as assigned

¿Perform other similar or related duties, as assigned, such as preparing fax / telex requests for collecting tender documents, distributing tenders / purchase and repair orders and contract agreements.
