Job description

Our client, a services company is looking forward to recruit Document Controller

Documents Control Management Plan (DCMP) Development
¿ To perform evaluation of the current documents handling system and assess problems and needs accordingly.
¿ To develop a comprehensive Documents Management Plan. This will detail the approach to organizing, storing, protecting, accessing and distributing documents. It will also include how the existing documents will be organized, handled and recorded.
¿ To submit the Documents Control Management Plan (DCMP) for management approval. This Task is expected to be completed within the first 30 days of hiring (award).

Implementation of the DCMP
¿ To effectively implement and function the approved DCMP and manage all existing and new documents.
¿ To implement processes and tools, providing system reports, maintaining and updating electronic information systems, distributing documents, and ensuring accuracy of all documentation are all essential requirements.
¿ To ensure all corporate procedures and instructions with regard to documentation are followed, is also an essential part of the job junction.
¿ To perform both digital and hard filing for all projects and general documents. This includes carrying out all needed printing and scanning to maintain proper filing.

Keeping track of All Records
¿ The document controller will keep track of all documents records by looking through both hard files and computer data base files on a regular basis.
¿ To keep track of any changes occurring with the documents, the controller will prepare and update logs and highlights any type of document modifications/updates so that different revisions can be tracked and viewed.

Receiving & Distribution
¿ To receive and manage the incoming documents and follow-up/track the delivery of any expected documents.
¿ To distribute controlled outgoing documentation, making sure it reaches where it is supposed to.

Performing Edits on Documents
¿ To perform edits on documents before submitting them for approval in order to prevent specific forms of company documentation from being disqualified. This includes, checking the documents for typographical errors, misinformation, spelling and punctuation errors that will result in a documents disqualification.

Early Documents Preparation
¿ To ensure that all documents are submitted to their predestinated party before the required submission date expires, the document controller must prepare these documents in a timely manner.
¿ To coordinate with other staff members as they compile the needed documentation regarding the submission of certain forms of documentation so that the documents can be prepared early.

Coordination
¿ To coordinate amongst the different internal and external parties.
¿ To organize and classify the documents for external storage and archiving.
¿ To perform all administration activities like (typing, taking MOM, arranging meetings)

Other Duties (If Assigned by Line Manger)
¿ To train staff members on the approved DCMP implementation.
¿ To assist and participate in the procurement process and/or implementation of any electronic documents management or archiving systems.
¿ To carry out any other needed administrative or office works.

Qualifications:
Knowledge & Abilities
¿ Excellent Computer literacy (at least Windows 7 and MS Office 2007)
¿ Proper knowledge in management and administrative functions
¿ Ability to coordinate and plan strategically.
¿ Good reading comprehension, communication and organizational skills.
¿ Good knowledge of standards such as ISO 9000, ISO 17799 is a plus.

Education
¿ A 3 years college degree is required.

Languages:
¿ Fluency in both Arabic & English is required.

Experience:
¿ At least 6 years of relevant experience.
¿ Previous experience working in construction projects environment is a plus.
¿ Previous experience working with Electronic Documents Control Systems is a plus.
