Job description

JOB PURPOSE
¿ Perform advanced secretarial tasks related to the administration of the Institutional development division
¿ Organized and coordinate Public relations event and Corporate delegation visits
¿ Plan and supervise the execution of the logistic side of the above responsibilities

DUTIES
Secretarial
¿ Perform advanced secretarial tasks related to the VP Institutional Development:
¿ Answering calls and handling queries,
¿ Reading, monitoring and responding to the VP¿s email,Managing the manager¿s electronic diary, sending invitations and booking meetings
¿ Preparing correspondence on the VPs behalf,Commissioning work on the manager¿s behalf.
¿ Writing minutes, taking dictation, writing reports, executive summaries and newsletters, typing documents.
¿ Preparing presentations, preparing papers for meetings, conducting research on the internet
¿ Managing and reviewing filing and office systems

Communication / Public Relation / Event Planning
¿ Maintain contact with secretaries of dignitaries, dignitaries themselves for appointments / events of the group in coordination with the head office- planning, - - Organizing and coordinating events
¿ Managing PR projects, and related budget
¿ Attending events/meetings as the manager¿s representative
¿ Order and dispatch of the Group¿s Brochures/Reports.
¿ Updating websites

Logistics, General Services
¿ Coordinate all logistics aspects of PR events / corporate delegations visits / Meetings of the VP (airport pick-up, hotel, transportation, diner, etc)
¿ Organizing VP¿s travel and preparing complex travel itineraries, hotel accommodation, car rental, etc
¿ Sourcing and ordering stationery and office equipment
Liaising with staff, clients, etc

Required Qualifications:
¿ Administration / Secretarial Diploma: 2 years after high school.
¿ Experience: 5 years minimum in similar capacity preferably with multinational organization.
¿ Very good communication skills
¿ Languages: Arabic, English and French (read ¿ spoken ¿ written).
¿ IT Skills are required
